Defining Roles

Different users of ExceedFurther within your organization may have different roles, and with those roles need different levels of access to the information and procedures in the system.

For each screen of information and each type of procedure there are three levels of privilege:

  1. None - a user with this privilege level cannot view or change anything within that screen.
  2. View - a user with this privilege can view the information in a particular screen but does not have the right to make changes unless she also has Edit privileges.
  3. Edit - a user with this privilege can both view and make changes to the information. This privilege is also required to add new information.

You can define and name up to 20 different roles at your organization. Within each role, you set the privilege for each section in ExceedFurther to view, edit or none.

When you create a new user login, you assign one or more roles to that user. A user with multiple roles will have the higher privilege if there is conflict between roles. For example, if the Event Planner role does not allow editing in the Volunteer screens but the Volunteer Coordinator role does, a user with both roles will be able to edit volunteer information.

  1. You must have administrator privileges to define roles. To define a new role or change an existing role, do the following:
  2. Click on the "Hello" drop down on the far right top of the ExceedFurther window.
  3. Select Administration from the list.
    1. This opens the Admin tab.
  4. Select the User Management sub tab.
    1. This opens a series of sub tabs for managing users.
  5. Open the Roles sub tab.
  6. From the list of 20 roles, select the role you wish to define or change.
    1. Type in a name for the role or change the existing name.
  7. In the list of privileges, click on the View and Edit check boxes to define the privileges associated with this role.
  8. Leaving both check boxes blank is the equivalent of providing a privilege of None, as described above.
  9. Click on Save.
