Donor Levels

Donor Levels are automatically calculated gift total ranges that you can use to categorize your donors into various levels. You can give each range a name, such as "Gold" or "Children's Circle." A Household's or Organization's donor level appears on their Bio screen in the Household or Organization section of the Profile tab.

Each Donor Level is defined as a range of total giving amounts. These totals can be based a date range or can apply to lifetime giving. In addition, the amounts can be based on a filter, so only certain gifts are included.

For example, you may have annual giving Donor Levels that do not include capital campaign gifts, or you may define unrestricted giving Donor Levels that do not include restricted gifts.

Once you define your Donor Levels, a level is calculated for each Household and Organization. After the initial calculation, the Donor Level is kept up to date automatically. You do not need to recalculate the totals again.

The Donor Level assigned to each Household and Organization also includes a trend arrow, showing whether the level has gone up, down or remained the same from one time period to the next.

To set up Donor Levels, follow these steps:

  1. Decide how many Donor Levels you wish to define and what each range should be. Each level should have a short name and a long name.
    1. You do not need to define a Donor Level for the lowest range. For example, if you start with "Contributor" at the $500 level, you do not need to define a Donor Level below that.
  2. From the Hello menu, select Administration to open the Admin tab.
  3. Open the Donor Level sub tab.
  4. Enter the number of levels you wish to define in the box and click on Add Rows.
    1. Starting with the lowest range, enter a short and long name for the level and enter a From and To amount to define the level.
  5. After you enter the To Range, the From Range for the next level is automatically set.
  6. Add names and ranges for the remaining levels.
    1. The To Range for the highest level should be a number bigger than anything you expect to see.
  7. Once you have filled in all the levels, click on Step 2.
  8. Select the date range to be used when calculating the giving totals that determine the levels.
  9. Select the gift types to be included.
    1. Do not include both Pledges and Pledge Payments - choose one or the other. If you are using Grants, do not include both Grants and Grant Payments, choose one or the other.
      1. If you wish to filter the gifts to be included by something in addition to the date and gift type, use the filters to make your selections.
  10. If you leave any of the filters untouched (so they say "Select options"), that filter is ignored. If you select certain codes for a filter, be aware that if you define a new code of that type in the future, you might need to come back to this screen to include it in the calculation.
    1. If you leave all of the filters, other than date and gift type, untouched, then all gifts will be counted if they fall into the date range and types specified.
  11. Once you have set all your filter choices, click on Save.
    1. After you save the definition for your Donor Levels, a level is calculated and assigned to every household and organization. The Donor Levels are automatically kept up to date with each change to giving history for a household or organization. In addition a trend is determined, showing whether the donor has moved up or down through the Donor Levels from one period to the next. You can see the current level and trend on the Profile tab of each household or organization Bio screen. You can also use these levels and trends when setting filters for reports and mailings.
