Canadian Receipts
Canada has some unique requirements for how receipt numbers are assigned and tracked so that gifts qualify for tax reporting purposes. In order to accommodate these, ExceedFurther has two special fields that are only available for Canadian users: Receipt Status and Receipt Preference. These are added to gifts and names, and are used to determine how receipt numbers are assigned. Receipt Status appears on the Receipt Report to assist in managing the receipt process. The Receipt letter template is designed to group gifts with the same receipt number onto the same receipt.
Receipt Status
The Receipt Status is assigned to each gift as it is entered. It can have one of the following values:
- Receipted - when you select this option, the next available receipt number is automatically assigned, depending on the receipt preference of the donor.
- Not Eligible - this indicates that this gift does not qualify for a tax receipt.
- Deemed Receipted - this gift is not assigned a receipt number by your organization since it has been receipted by someone else.
- Assign Receipt Later - if you are unsure about the status of the gift, select this to remind yourself to return later and select one of the other options.
Receipt Preference
The Receipt Preference field is used to determine how receipt numbers are assigned to each donor. It is added at the household or organization level and appears as one of the attributes. It can have one of the following values:
- Per Gift - The next available receipt number is automatically assigned to each gift when you select "Receipted" as the receipt status on the gift screen.
- Monthly - If this is the first gift of the month, it is assigned a new receipt number when you select "Receipted" as the receipt status on the gift screen. If this is not the first gift, it is assigned the same receipt number of the last gift made in the same month by the same donor, so that all receipted gifts in the same month have the same receipt number.
- Quarterly - If this is the first gift of the quarter, it is assigned a new receipt number when you select "Receipted" as the receipt status on the gift screen. If this is not the first gift, it is assigned the same receipt number of the last gift made in the same quarter by the same donor, so that all receipted gifts in the same quarter have the same receipt number.
- Annual - If this is the first gift of the year, it is assigned a new receipt number when you select "Receipted" as the receipt status on the gift screen. If this is not the first gift, it is assigned the same receipt number of the last gift made in the same year by the same donor, so that all receipted gifts in the same year have the same receipt number. Note that this works only on the calendar year, not the fiscal year.
- By Event - If this is the first gift for this event code, it is assigned a new receipt number when you select "Receipted" as the receipt status on the gift screen. If this is not the first gift, it is assigned the same receipt number of the last gift made by the same donor with the same event code, so that all receipted gifts for the same event have the same receipt number.
