Gift Manager Recurring Gift Manager Tab

The Recurring Gift Manager tab is used to set up recurring gifts, view the expected or actual gift transactions that result, and create gift and pledge payment records to reflect the recurring transactions.

The tab includes two sub tabs:

  1. Recurring Transactions - where you view expected transactions, along with actual transactions from your payment processor, and where you create gift and pledge payment records in your donors' giving history.
  2. Recurring Templates - where you view, add and update recurring payment templates.

Recurring Transactions Tab

The Recurring Transactions tab is used to view expected recurring payments, view transactions from your payment processor if applicable, and create gift and pledge payment records.

If you are processing the transactions outside of ExceedFurther:

  1. Click on the Exceed sub tab.
    1. The Exceed sub tab has four sub tabs under it, each containing a list of transactions, depending on the transaction status:
      1. All - all transactions that are expected according to the date and payment method criteria, regardless of their status
      2. Open - transactions that are expected during the date range and have not yet been processed, that is have not yet been turned into gifts or payments. For each transaction in this list, you either create a gift or pledge payment record or you mark it as rejected.
      3. Successful - transactions that have successfully been turned into gift or pledge payment records.
      4. Rejected - transactions that you have marked as rejected.
  2. Select from the following options:
    1. Payment Method - select the payment methods that you wish to include in the list of recurring transactions
    2. Date Range - select the date range.
  3. Select the Open sub tab to view the recurring payments that need to be processed this period.
  4. Click on Go.
    1. The list of transactions is built from the recurring payment templates, based on the recurrence pattern and the date range you have selected.
    2. For example, if you have set up recurring templates for monthly transactions and you select a month for your date range, all of the transactions created from those monthly templates appear.
  5. After you have manually processed those transactions, select the ones that were successfully completed.
  6. Click on the Add to Gift or Add to Gift with a Batch to create gift and pledge payment records for all of these transactions.
    1. After the gift records have been created, the transactions are no longer in the Open list. They are moved to the Successful list.
  7. For transactions that were not successfully completed, you may need to follow up with the donor and retry processing. If you retry and successfully complete a failed transaction, you can return and create a gift record for that transaction also.
  8. Click on the Rejected transactions and click on the Reject button.
    1. Rejected transactions are moved to the Rejected list. You can view this list by clicking on the Rejected radio button at the top.
    2. If a recurring gift is repeatedly rejected and you are unable to follow up with the donor, you may wish to consider deleting the template. You can do that from the Recurring Templates tab.

If you are using  iATS or Authorize.Net:

If you are using Authorize.Net or iATS for your recurring gifts, you should create all of your recurring payment templates from within ExceedFurther.

Once you have created a recurring gift, you can view it directly in the payment processor website. However, you should not add new recurring gifts or make changes in existing ones through the payment processor website. These changes are not reflected in the template in ExceedFurther. Make all changes directly in ExceedFurther. These changes will be transferred automatically to the payment processor.

iATS and Authorize.Net automatically process the recurring transactions according to the recurrence pattern you specified. These completed transactions are then downloaded into ExceedFurther so you can see that they were completed. You need to create gift and pledge payment records for each successfully completed transaction, as follows:

  1. Click on the iATS or Authorize.Net sub tab.
    1. There are five sub tabs, each containing a list of transactions, depending on the transaction status:
    2. Pending Transactions - all transactions that are expected according to the date and payment method criteria, regardless of their status
    3. New Transactions  - transactions that have been processed but have not yet been turned into gifts. For each transaction in this list, you either create a gift record or you mark it as rejected.
    4. Matched - transactions that have been correctly matched to the corresponding recurring payment template in ExceedFurther.
    5. Rejected - transactions that you have marked as rejected because they were not successfully processed.
    6. Converted to Gift - transactions for which gifts or pledge payments have been successfully added to donor records in ExceedFurther.
  2. Open the Pending Transactions sub tab.
  3. Select from the following options:
    1. Payment Method - select the payment methods that you wish to include in the list of recurring transactions
    2. Date Range - select the date range.
  4. Click on Go.
    1. The list of transactions is built from the recurring gift templates, based on the recurrence pattern and the date range you have selected.
    2. For example, if you have set up recurring templates for monthly transactions and you select a month for your date range, all of the transactions created from those monthly templates appear.
    3. This list is for your reference only. It shows you what transactions you should be expecting.
  5. Open the New Transactions sub tab.
  6. Click on the Get CC Transactions.
    1. This downloads all recurring transactions that have not been downloaded before.
  7. Click on Automatic Match.
    1. This matches transaction with its matching recurring payment template in ExceedFurther.  The matched transactions are moved to the Matched sub tab.
    2. If there are still transactions remaining in the New Transactions sub tab, this means that the matching template was not found. You need to create a new template and use the Manual Match button to connect the template with the unmatched transaction.
  8. Open the Matched sub tab.
  9. Select those transactions that were not successfully processed. You can see which ones these are by looking at the Result column in the grid of transactions.
  10. Click on Reject to move these to the Rejected sub tab list.
    1. If a transaction failed because of a bad credit card (one that has expired, for example), you can go to the recurring payment template in ExceedFurther and correct the problem (assuming your donor is amenable). When you do this, the payment processor will attempt to run the transaction again, and the new transaction will appear when you download new transactions again.
    2. If a rejected transaction has been rerun, you may wish to delete it from the Rejected sub tab. Open the sub tab, find the transaction, and click on the Delete button.
  11. On the Matched sub tab, select transactions that were successful and click on the Add to Gift or Add to Gift with a Batch to create gift or pledge payment records for all of these transactions.

Recurring Templates Tab

The Recurring Templates tab includes sub tab for Exceed and each payment processor that you use. Each shows a list of the recurring payment templates that you created to be processed either manually or by your payment processor.

Both tabs include the same buttons:

  1. Add - to add a new recurring template. You can either add a Recurring Gift or an Auto Pay Pledge. The difference is that an Auto Pay Pledge creates a pledge with a payment schedule in the donors record. The payment schedule matches the recurring payment template and transactions become pledge payments. When you create a recurring gift, nothing is added to the donor's record until a transaction is processed. Transactions are added as gifts, not pledge payments.
  2. Edit - to make changes to an existing template.
  3. View History - to view all gifts and pledge payments that have been created from transactions from the selected template.
  4. Delete - to delete the selected template.

If the template is for an iATS or Authorize.Net recurring payment, any changes you make are sent to iATS or Authorize.Net to make the same changes in the template at their website.

NOTE: if you make changes to a recurring gift directly at the iATS or Authorize.Net website, these changes are not reflected in the corresponding template in ExceedFurther.  You should always make any changes to a recurring payment template on this tab.
