Grant Manager Grants Tab
The Grants tab of the Grant Manager lists all proposals and grants, whether incoming or outgoing. Use the features of the list to sort and filter the list.
At the top of the screen you have the following options for selecting what to view:
Grant type (select one):
- Incoming: grants that your organization receives from foundations and other organizations.
- Outgoing: grants that your organization makes to other non-profits or individuals.
Grant status (select one or more):
- Pending - the proposal has not yet been reviewed for decision.
- Granted - the proposal has been granted but not yet completely paid.
- Funded - the proposal has been granted and all payments have been made.
- Declined - the proposal has been declined.
- Held - the proposal has been held for future consideration.
- Withdrawn - the proposal has been withdrawn from consideration.
Date range (select one date type and select the date range):
- Proposal date - the date the proposal was submitted or received.
- Grant date - the date the proposal was approved.
- Review date - the date the proposal will be reviewed for decision.
After you have made your selections, click on Go (to the right of the date range).
In addition, you can use the Filter, including the Advanced Filter, to further narrow down the list. Open the filter by clicking on the Filter drop down above the list.
When you select a grant or proposal from the list, the details appear below, on three tabs:
- Grant Detail - the details about the selected grant or proposal.
- Activities - a list of all activities associated with the selected grant or proposal.
- Payments - a list of all payments associated with the selected grant.
The Grants tab includes the following buttons:
- Add - to add a new grant or proposal. This brings up the Add Grant screen.
- Edit - to edit the selected grant or proposal. This brings up the Edit Grant screen which is the same as the Add Grant screen except that the fields are filled in. The Edit Grant screen also allows you to add or edit activities and payments for the selected grant or proposal.
- Update Selected - to make changes to a group of grants. First select one or more grants or proposals by checking the check box in the left most column in the list. Click on Update Selected where you can change the status of the proposal or grant, add a grant date, or mark the check list as OK.
- If you change the status from Proposed to Granted, the proposal amount is automatically moved from the requested amount to the granted amount. Since this is likely not correct for all proposals, you can go through the list of grants and directly correct the grant amount in the list. This saves the effort of going through the grants one by one and using the edit button to update the granted amount. Note that this option is only for outgoing grants with a status of Granted.
- Add Grant Activities - to add an activity to one or more grants or proposals. Select the proposals or grants where you wish to add an activity then click this button. A screen comes up with the same fields you have available on Step 2 of the Add Grant screen. This adds the same activity to all of the selected grants and proposals.
- Add Grant Payments - to add a payment to one or more grants or proposals. Select the proposals or grants where you wish to add a payment then click this button. A screen comes up with the same fields you have available on Step 3 of the Add Grant screen. This adds the same payment to all of the selected grants and proposals.
- Add Grant to Gift - to add an incoming grant to the giving history of the organization making the grant.
- Delete - to delete the proposal or grant and all of its associated activities and payments.
