Guest Manager Guest List Tab

The Guest List tab of the Guest Manager displays a list of guest family stays.  A stay can be an actual stay in the house or it can be a request, a position on the waiting list, a stay request that could not be accommodated, or any value of the Stay Type field.

As with all lists, you can use the gears to reconfigure the columns and you can use the filter boxes to select only certain rows.

At the top of the list you have several options for selecting what guest stays to display in the list. After you have chosen from the following options, click on the Go button to update the list:

  1. Stay Type - select the Stay Type that you wish to view in the list.
  2. Guests in House as of - displays the guests in the house as of the date range you select..
  3. Arrival - displays guests who arrived or are expected to arrive in a certain date range. You also select the range.
  4. Expected Departure - displays guests who are expected to depart in a selected date range.
  5. Actual Departure - displays guests who actually departed in a selected date range.

You can also open the Filter, by clicking on the down arrow, to narrow down the stays that are displayed. For example, you may wish to view only one location.

The Guest List tab includes the following buttons:

  1. Check In - displays all of the biographical and guest stay information for the guest and the stay, including occupant information. You can make changes to update any of this information and check in the guest. Checking in a guest changes the stay type to Stay.
  2. Check Out - opens a Check Out screen where you can enter the actual departure date, mark the guest as departed and optionally generate charges associated with the stay.
  3. Add - adds a new guest stay when you select Stay from the list. For the other choices, first select a stay. The selections take you to the relevant step in the Add/Edit Guest Stay screen.
  4. Edit - takes you to the Add/Edit Guest Stay screen where you can edit the selected stay.
  5. Advanced Edit - displays all of the biographical and guest stay information for the guest and the stay, including occupant information. You can make changes to update any of this information.
  6. Delete Stay - deletes the selected stay.
  7. Move Guest - opens the Move Guest screen where you select a new room and dates for the move.
  8. Guest Arrival - opens the Add/Edit Guest Stay screen at Step 2 - Guest where you can enter the actual arrival date, update the Stay type if necessary, and go the Step 3 - Occupants to add occupant details.
  9. Guest Departure - asks for the departure date and checks for items that have not been returned. It then goes to Step 7 - Charges in the Add/Edit Guest Stay screen where you can update the charges and create an invoice for this stay. It updates the departure date to the date you entered and marks the room as checked out on the Room Manager tab.
  10. Charge - goes to Step 7 - Charges in the Add/Edit Guest Stay screen where you can update the charges and create an invoice for this stay. Use this button to create charges without having the guest depart.
  11. Update Expected Departure - allows you to update the expected departure date for a group of stays at the same time. This is useful if you have reached the expected departure date for several guest stays for guests who will be staying past their expected departure. This only appears if you select Expected Departure as the option at the top of the list.
