How to Set up on Event Response Form
Before you create a form for online event registrations, you first add an Online Event in the Event Manager in ExceedFurther. Note that you must use the Create Online Event button, not the Create New Event button, if you wish to allow people to respond online.
To set up an online Event Registration page, do the following:
- From the ExceedFurther navigator, select Online Administration. This takes you to your online administration portal.
- Log in as the administrator.
- Under Online Administration, select Online Event Registration in the left-hand menu.
- Select the online event you wish to work with. The list of events includes all online events you have created in the Event Manager in ExceedFurther.
- Select Settings.
- Add or change information in the following fields:
- Title – This is the public title your registrants will see; you can change this without affecting the event name in ExceedFurther.
- Location – This is carried over from the setup in ExceedFurther.
- Display image – This will be the main banner image of your event.
- Notifications image – This image appears in notifications if the tag has been added.
- Category – This is carried over from the setup in ExceedFurther as a way to categorize your events in a list on your website.
- Contact – This is carried over from the setup in ExceedFurther.
- Start Date and time – The date is carried over from the setup in ExceedFurther. You need to enter the start time here for the event.
- End date and time – The date is carried over from the setup in ExceedFurther. You need to enter the end time here for the event.
- Online Registration Ends – The date is carried over from the setup in ExceedFurther. You need to enter the end time. The online form will stop taking registrations at the date and time set.
- Facebook Share button – This is carried over from the setup in ExceedFurther.
- On success redirect – If this is checked and a URL is entered, it will redirect the registrant to that URL when they successfully register.
- On success enable automatic sign in – if this is selected, a registrant will automatically be signed in. This is used when you wish to redirect someone to create a fundraiser after registering.
- Send Account information to donor – If this is selected,the registrant will be sent log in information to enable them to log in at a later date and update their fundraiser
- Enable tell a friend – If this is selected, an option is provided for anyone to send an email from the system inviting people to the event
- Description – Area for description about the event
- Additional info – Any additional information for the registrants that request it.
- Add information about the gifts that are created when guests register for the event:
- Campaign – Select a Campaign code to be added to all gifts that come from this event registration form.
- Contribution name – The contribution name is carried over from the Event Manager in ExceedFurther.
- Role – Select any tags that you wish to attach to the people who register for the event.
- Currently you should not allow a registrant to cancel online. Registrants will need to contact you to cancel and request a refund.
- Select the ticketing options you wish to include. This comes from the Event Manager in ExceedFurther. If you want to make any changes to this, other than the labels, you must do so in ExceedFurther's Event Manager. You can update the option labels from here if you wish..
- For each ticketing option, you can check the Donation check box. This enables the option for the registrant to make an additional donation by providing an open amount field.
- If you wish to allow donors to make a gift in honor of someone, check the Tribute gift box.
- Select options for the About You section:
- Is this registration personal or on behalf of an organization? If it is on behalf of an organization, it is assumed that the donor record in ExceedFurther is an Organization and not a Household. The Organization name is the name as entered on the form. The person filling in the form becomes the primary contact name at the Organization in ExceedFurther.
- Birthdate
- Gender
- OK to Contact
- Select Credit Card options
- Gift Acknowledged - when the gift is moved to the donor's giving history in ExceedFurther, it can be marked as already acknowledged, or you can use the ExceedFurther acknowledgment process to acknowledge the gift after it is moved into the donor's giving history.
- Anonymous - if the donor wishes the gift to be anonymous, when it is moved into the donor's giving history, the donor's record is marked as wishing gifts to be anonymous. The donor's name and address are kept with the gift, but will not appear in gift reports in ExceedFurther..
- Below the credit card information section, you will see a couple of options you can show or hide.
- Comments – Show Comments if you would like the donor to add notes to the gift. Comments will display in the notes section of the gift in ExceedFurther.
- Attendees – Show this to allow the user to enter in any extra guests names they may be purchasing tickets for
- Event UDF – Show this and check the UDFs you added to the event in ExceedFurther, these will display as questions for each guest to answer (for example: Meal choice, T Shirt size, Seating preference)'
- Mailing preferences – These are mailing tags within ExceedFurther that allow the donor to sign up for specific mailings.
- If you wish to provide a confirmation message to the donor after they have clicked on Submit, select this option. This causes a separate message to pop up, asking the donor to confirm the gift. The gift is not processed until the confirmation is received. This is optional and may be more appropriate when there is a more complicated transaction, for example buying tickets to an event.
- Be sure to click on Save to save your changes.
- Scroll up and select the Visit Public Page option. Scroll down and select your Event form from the list. Select the share option and copy the link for your form. Use this link in invitations and on your website for invitees to find the registration form for the event.
