Volunteer Calendar View

The Volunteer Manager Calendar View sub tab presents a calendar showing all of the jobs, with their associated events or projects, and any assigned volunteers, for a particular time period.

You have the following options on this screen:

Set the time interval and the date range

Select Daily, Weekly, or Monthly to change the number of days that are displayed.

Click on the arrows on either side of the date range to move forward or backwards by a day, a week, or a month, depending on what you selected as the time interval.

Select the details to show

Each scheduled job includes the time, job name, the number of volunteers required, the number assigned, and the gap between the required and assigned numbers. In addition you can display the project or event that this job is linked to, and the individual volunteer names with their contact information.

To change the level of detail that is displayed, check or uncheck the boxes after "Show" and click on Go.

Select the jobs to show

If you do not wish to see all of the jobs for this time period, you can use the filter to narrow down the group.

  1. Click on Filter.
  2. If you want to filter by tags, select the tags to use. You can use three different ways to select tags:
    1. Include - if a job has this tag, include it unless it is excluded by another tag. If you select more than one tag to include, the job needs to have only one of those tags to be included.
    2. Exclude - if a job has this tag, exclude it in all circumstances.
    3. Require - any job that is included must have this tag. If you select more than one tag to require, the job must have all required tags to be included.
  3. Select other criteria to filter your jobs:
    1. Start Time Range - to display only jobs that start in a particular time period, enter the range of start times.
    2. Project - to display jobs related to certain projects, select all the project names to include from the list by clicking on the check boxes.
    3. Event - to display jobs related to certain events, select all the event names to include from the list by clicking on the check boxes.
    4. Job - to display only certain jobs selected by name, select the job names to include.
    5. Task - to display only jobs that have certain tasks, select the task names to include.
    6. Supervisor - to display only jobs that have a certain supervisor or supervisors, select the supervisor names from the list.
    7. Filled up/People needed - you can display only jobs that are completely filled or only jobs that still need to have a volunteer assigned by selecting the choice.
  4. Click on Go to refill the calendar based on your filter

Make changes to the schedule

If there are changes that you need to make to the schedule, click on Edit next to the job schedule that needs to be changed. This takes you to the Schedule Jobs window.

Print the Calendar

If you want a printed copy of the calendar, click on the Print button. This prints that calendar exactly as you see it on the screen, with the date ranges, filters, and other display options you have selected.
