Volunteer Manager Tag Tab

Volunteer tags are used to assign attributes to both volunteers and the jobs that they perform. They are useful for finding appropriate volunteers for certain jobs and tasks, and they can be useful in knowing more about your volunteers as you build individual relationships with them.

Tags are categorized into tag types. ExceedBeyond comes with several built in tag types that are useful for volunteers: Interests, Skills, and Awards. You can add additional tag types if you need them. For example, if  you operate in several locations, you might create a set of Location type tags so you can tag volunteers and jobs with their location to make it easier to find matches.

Within each tag type, you can define as many different tags as you need. They can be very specific, like skilled with Excel or calligraphy, or more general, like computer use or art. It all depends on what kind of skills and interests are needed for your tasks and jobs and the level of information you may have about your volunteers.

Another tag type that is included is Awards. You create a tag for each type of award you give to volunteers and then use these tags to mark the appropriate volunteers.

The Tag subtab of the Volunteer Manager allows you to create tag types, and then create tags within each type. It also allows you to assign these tags to jobs and tasks.

Tag Type

To add a new tag type, do the following:

  1. From the Volunteer Manager, Tag sub tab, click on the Tag Type tab.
    1. A list of existing tag types appears at the bottom of the window.
  2. Type in the name of the new tag type.
  3. Leave the check in the Active check box if you intend to use this tag type.
  4. Type in a description for this tag type.
  5. Click on Save.
    1. The new tag type appears in the list.

To edit an existing tag type, do the following:

  1. From the Volunteer Manager, Tag sub tab, click on the Tag Type tab.
  2. A list of existing tag types appears at the bottom of the window.
  3. Select the tag type you wish to change.
  4. Click on Edit.
  5. Make any changes to the tag type.
    1. Click on Save.

Tag

This sub tab is where you define and manage the tags within each tag type.

To add a new tag, do the following:

  1. From the Volunteer Manager, Tag sub tab, click on the Tag tab.
    1. A list of existing tags appears at the bottom of the window.
  2. Select the type of tag you are adding from the list of tag types.
  3. Type in the name of the new tag.
  4. Add a description for the tag.
  5. Leave the check in the Active check box if you intend to use this tag type.
  6. Add any comments about this tag.
  7. Click on Save.
    1. The new tag appears in the list.

To edit an existing tag, do the following:

  1. From the Volunteer Manager, Tag sub tab, click on the Tag tab.
    1. A list of existing tags appears at the bottom of the window.
  2. Select the tag you are editing from the list of tags.
  3. Click on Edit
  4. Make any changes to the tag.
  5. Click on Save.

Job Tag

This sub tab is used to add tags to jobs. Since you can also assign the same tags to volunteers, adding tags to jobs can assist you in finding suitable volunteers for each job.

When you add a tag to a job, you indicate whether a volunteer is required to have the same tag, or should have at least one of a group of tags, or should be excluded from consideration if they have a particular tag. When you tag the job, you select from one of the following choices:

  1. Include - if a job has this tag, it indicates that a volunteer should be considered if they have the same tag. If you select more than one tag to include, the volunteer needs to have only one of those tags to be included in the list for consideration.
  2. Exclude - if a job has this tag, volunteers with this tag should be excluded in all circumstances.
  3. Require - if a job has a required tag, a volunteer must have this tag to be considered. If you select more than one tag to require, the volunteer must have all required tags to be included.

These same rules can be automatically applied to the volunteer filter when you are assigning volunteers to work, either from the Job Scheduler, the Project Scheduler or the Event Scheduler.

To add tags to jobs, or edit tags already attached, do the following:

  1. From the Volunteer Manager, Tag sub tab, click on the Job Tag tab.
    1. A list of jobs appears.
  2. Select the job you are tagging from the list of jobs.
  3. For each tag that you wish to apply to this job, make the following choice:
    1. Click on the box in the Inc column by the tag to include the tag.
    2. Click on the box in the Exc column by the tag to exclude the tag.
    3. Click on the box in the Req column by the tag to require the tag.
    4. If a tag is not applicable to this job, leave all of boxes unchecked.
  4. Click on Save Job Tags.

Task Tag

Like jobs, tasks can also be tagged, using this sub tab. Adding tags to tasks can assist you in finding suitable volunteers for each task since you can filter on volunteers with certain tags. If a task is always part of the same job, you do not have to assign the same tags to the task that you assigned to the job. When searching for a volunteer for a task, the task and the associated job tags both are used.

For example, if you have a job of children's center worker with several tasks, like art projects, playground supervision, and computer learning, the job may be tagged with a "Children" tag, and then each task with skills and interests that apply to that task. Since you have tagged the job with the "Children" tag, you do not need to repeat that tag on each task.
