Adding a Gift Size Table
A Gift Size Table is a way to categorize your gifts into levels based on the size of the gift. This table is used for statistics reports, such as Gifts by Size, and can be used to create a list for your newsletter or annual report showing donors at each level.
A Gift Size Table is also used in the Campaign Manager to create Ask Range Codes that can be assigned to prospect names. This can be useful when you are using a Gift Range Chart to plan your campaign, and you need to see how many prospects you have at each level in the campaign.
You can add as many different Gift Size Tables as you need, one for each campaign. There is one default table that you can use for reporting, and you can add additional tables for each campaign. You do not need to own the Campaign Manager to create several different campaign codes and define gift size tables for each one.
When you add a new table, you fill in the starting and ending amount for the first range and then just the ending amount for each range after that. ExceedFurther fills in the next starting range by adding one to the ending range of the next lower range. Gifts that are greater than or equal to the lower number or less than or equal to the higher number fall in that range.
You should begin with the smallest range first, and it should begin with 1 rather than zero if you do not wish to count your in-kind gifts that have a zero amount. As you work down the list, fill in each ending amount. The highest range should end with a number greater than any gift you might receive.
For each range, you can use the Code field column to create a list of Ask Range codes to use in the Campaign Manager. The Description fields allow you enter a cleaner version of how you would like each range to appear in your reports. This description is also used as the Ask Range code description in the Campaign Manager.
The final two columns are used only in the Campaign Manger. They allow you to specify which rows to include as Ask Range options and what amount to use to calculate totals in the Gift Range Chart for that level.
To add a Gift Size Table, do the following:
- Each Gift Size Table other than the default is associated with a campaign. If necessary, add a new Campaign definition, either from the Campaign Manager or from the Codes list.
- Click on the "Hello" drop down on the far right top of the ExceedFurther window.
- Select Administration from the list.
- This opens the Admin tab.
- Select the Gift Size Table sub tab.
- Select the Campaign this Gift Size Table refers to and click on Go.
- The ranges are initially filled with the default values. To change these, start with the first row and do the following:
- If you are creating Ask Range codes for the Campaign Manger, change the code describing the range if you want to use something different.
- Fill in the description for the range so it appears the way you would like it on your reports.
- If you are on the first row, fill in the From Range for the lowest range.
- Fill in the To Range.
- If you are using the Gift Range Chart in the Campaign Manager, use the Gift Size field to fill in the gift amount that should be used in the chart when calculating the number of gifts and total amount needed in this range to meet your goal.
- For example, if you need to raise $500,000 from gifts in the $10,000 - $25,000 range, you would need 50 $10,000 gifts or 20 $25,000 gifts. You can select the value to use when calculating the number of gifts needed in each range.
- If you are using the Campaign Manager and would like to use the Ask Range code for this row, check the box in the Ask Range column.
- Repeat from step 7 for the remaining rows.
- If you do not need the full 10 lines, you can leave the last few lines blank.
- Click on Save to save your changes.
