Bio Relationship Tab

Relationships form links between people in different households and organizations. It is a way to record who knows whom, who is related, where people work, what clubs they belong to in common, and so forth.

Relationships can link together entire households and organizations or they can link together individuals and couples, or any combination of the two. For example, you can link an individual to the organization where she works. You can link two individuals as golf partners or two couples as bridge players. You can link two family households, like parents and children, together.

When you add a relationship, you include a relationship type code to indicate what kind of relationship it is. You can define any number of Relationship type codes in the Admin tab.

There is a special Relationship code of "Same." This is used to link two individuals together when they are the same person. For example, you may have a person within a household and the same person within an organization, perhaps where they work. If you mark two individuals as having the "Same" relationship, then on the Bio Gift tab and the Work History tab of the  Bio Volunteer tab, the gifts and volunteer hours from the related person are shown in green in the grid. Note that this does not impact the giving totals or the volunteer total hours.

When you open the Relationship sub tab, you see a list of all the existing relationships for this household or organization. As you select a relationship from the list, the details are displayed below. You can open the Relationship sub tab of the Bio tab of the linked name by clicking on Go To Name.

How to Add a Relationship

  1. Open the Bio tab for one of the households or organizations that are part of the relationship.
  2. Click on the Relationship sub tab.
  3. You can create the relationship by linking the entire household or organization to another record or you can create the link from one person or couple in this household or organization. If you wish to create a relationship link from one person or couple, click on Show Only and select the name.
  4. Click on the Add button.
    1. The exact fields and layout of this screen can be configured by using the Custom Page Layout tab in the Admin tab. If your organization has customized this page, the order of the steps may not be the same as shown here.
  5. In the Related Name field, type in the name of the person or organization you want to create a relationship link with.
    1. A list of matching names appears. Note that this list may include households, organizations, individual names and couples. You can select exactly which level you want to link to.
  6. After you make your selection, the details of the name appear so that you can verify that you selected the correct name.
  7. If the name is not correct, type a different names into the Related Name field and select the correct name.
  8. Select a Relationship Type from the list.
  9. Click on Create Soft Credit Gift if you wish to soft credit the related name whenever a gift is added to this donor.
    1. For example, if the Bio record you are working on is a private company, and you wish to soft credit the company's founder whenever the company makes a gift, create a relationship to the founder's record and click on Create Soft Credit Gift. Then when you enter a gift from the company, a soft credit gift will also appear on the giving history of the founder.
  10. Click on Create Soft Credit Pledge if you wish to soft credit the related name whenever a pledge is added to this donor.
    1. Note that the soft credit pledge that is created has the same pledge schedule as the hard credit pledge. Soft credit pledges have certain restrictions.
  11. Add any notes about this relationship.
  12. Click on Save.

How to Edit a Relationship

  1. Open the Bio tab for the household or organization that is part of the relationship.
  2. Click on the Relationship sub tab.
    1. A list of all the existing relationships for this household or organization is displayed. As you select a relationship from the list, the details are displayed below.
  3. Select the relationship you wish to change.
  4. Click on the Edit button.
  5. Make your changes
  6. Click on Save.
  7. If there is a reciprocal relationship associated with the one you are changing, you are asked if you wish to make changes to that relationship also. Click on Yes to change the reciprocal relationship.

How to Delete a Relationship

  1. Open the Bio tab for the household or organization that is part of the relationship.
  2. Click on the Relationship sub tab.
    1. A list of all the existing relationships for this household or organization is displayed. As you select a relationship from the list, the details are displayed below.
  3. Select the relationship you wish to delete.
  4. Click on the Delete button.
  5. Confirm that you wish to delete this relationship.
  6. If there is a reciprocal relationship associated with the one you are deleting, you are asked if you wish to delete that relationship also. Click on Yes to delete the reciprocal relationship.
