Family Room Admin
The Admin tab of the Family Room tab is where you create codes to track the use of your Family Rooms. You can also enter information about volunteer staffing levels that is used in reporting.
Using the Admin tab, you can create the following codes:
- Relationship - these define the relationship between the visitor and the patient. They are for your information only.
- Location - these are the places where your Family Rooms are located, for example, the various hospitals or other medical facilities. When you add your room definitions, below, you assign each room to a location.
- Family Room - these are the actual Family Rooms. You can track utilization of each separate room, and then these data are rolled up into each location for reporting purposes.
- Unit - these are the hospital units for the patients whose families are accessing the family room.
- Referred By - these are for tracking how visitors came to know about the Family Room. They can be useful for understanding how to increase awareness and access.
- Services - you can define up to 10 services that you offer in your family rooms.
To add a new code, do the following:
- Open the Admin tab of the Family Room tab.
- Select the code type from the list at the left.
- Review the list of codes to make sure this code is not already defined.
- Click on the + sign on the top of the grid.
- Enter a code and a description. Make sure the new code is marked as Active, with the Active check box checked. You can later uncheck this box if you are no longer using the code.
- Add any comments about the code.
- There are additional pieces of information to add, depending on the code type, as follows:
- Location:
- Program iMIS ID. This is used to roll up the Family Rooms at this location for RADAR reporting purposes.
- Family Room:
- Sort Order. By assigning numbers to your Family Rooms, you can change the order they appear in the drop down room list.
- Location. Each Family Room must be assigned to a Location code, defined above.
- Room Extension. This is the phone number at the desk in the Family Room.
- Maximum Capacity. This is the total number of people the Family Room can hold.

In addition to the code definitions, you also use the Admin tab to record the number of volunteers who have served each month and the number of shifts that were unstaffed.
To enter staffing data for your Family Rooms, do the following:
- Open the Admin tab of the Family Room tab.
- Select Report Data from the list on the left.
- Select the fiscal year for the data.
- Select the Family Room from the drop down list of rooms.
- For each month, enter the number of shifts that the room was closed.
- For each month, enter the number of volunteer hours worked in the selected room.
- Click on Save.
- Repeat from step 4 for each Family Room.
