Tributes
Tribute gifts are gifts made in honor or memory of someone. They can be any type of gift - a regular gift, membership dues, a sale, a pledge, or a payment on a pledge.
You mark a gift as a tribute by attaching the name of the person being honored to the gift using the Tribute field. This field is available when you add a new gift or make changes to an existing one.
You can attach any number of tribute names to a gift. However, you cannot split that amount of the gift across different names.
If you wish to inform a family member or friend of a tribute gift, you can attach the family member's or friend's name to the tribute. You can then use the Tribute letter template to create a mailing that lists all of the donors, with their addresses, who have made gifts in honor or memory of the same person. This letter is sent to the family member or friend so that they are informed and can add their own thanks if they wish.
Once you have received a gift in honor or memory of someone and you have set up a tribute, including the family member's name, you can reuse that tribute for additional gifts in honor or memory of the person. Their name will appear in the list of tribute names available on the gift screen.
To add a tribute to a gift, do the following:
- On the gift entry screen, drop down the list of tribute names and select the name for this tribute.
- You can select more than one name.
- If this is the first gift in honor or memory of someone and the name is not on the list, click on the plus sign next to the Tribute field. This opens a screen for adding a new tribute. Do the following on this screen:
- a. Fill in the tribute person's first and last name.
- b. To attach a family member to this tribute, the family name must be a record in ExceedFurther. Enter the name after "Person to be notified on behalf" and click on the search icon to see if the name is in the data. If the name is there, double click on it to select it. If the name is not there, click on the H+ to add a new household or the O+ to add a new organization. Once the new household or organization is added, you can attach the notify name to the tribute.
- c. Note that you might want to make the person being honored the same as the person being notified, if you would like to send a letter telling someone of gifts in their honor.
- d. Make sure the Active check box is checked.
- e. Select the type of tribute:
- Honor other - for gifts in honor of something other than a person, like a pet
- Memorial other - for gifts in memory of something other than a person, like a pet
- Honor - for gifts in honor of someone
- Memorial - for gifts in memory of someone
- f. Add any comments about the tribute and click on Save.
- You can also add Tributes from the Codes tab of the Admin tab.
- The Notified check box next to the Tribute field is used to indicate whether the family member has been notified about this tribute. This box will be automatically checked after you run Tribute letters, but you can check it yourself if you have already notified the family about this gift or if you do not wish to include this gift in the Tribute letters.
To create letters to family members and friends about tribute gifts, do the following:
- From the Communications Navigator, select New Mailing.
- Select Tributes as the template type.
- Select an existing Tribute letter template or create a new one.
- When you create a Tribute letter, you select and insert the ... table. This will put the donor names and addresses into the letter.
- At Step 3, enter the date range of gifts to include.
- At Step 4, review the list of names. These should be the family members and friends associated with the Tributes for the range of gifts.
- At Step 5, create the letters.
- After the letters have been created, you are asked if you wish to mark the gifts as notified. If you click on Yes, the Notified check box will be checked for each gift included in this mailing. This helps ensure that you do not send more than one notification for the same gift.
- For more details about creating a mailing, see How to Run a Mailing.
To create a list of tribute gifts for your newsletter, you can use the All Gifts list under Quick Lists in the Gift navigator.
- Open the All Gifts list.
- Open the Filter and click on Clear Filters to make sure you are starting from scratch.
- From the Filter, select a range of gift dates to include for this newsletter.
- From the Filter, click on the Tribute drop down and click on Select All. This will include all Tribute names.
- Click on Go to refresh the list so it shows just the tribute gifts to include.
- Use the gear in the list to select just those fields you will need, including at least the Tribute and Name (the donor).
- Use the column headers in the list to sort the gifts by Tribute and Name so that all tributes for the same person are grouped together.
- Click on the Export icon in the Icon bar to send the list to an Excel spreadsheet.
- Once the list is set up the way you wish to see it, use the List icon on the Icon bar to save this as a new list, perhaps called "Tribute List." It then appears in "My Lists" and can be used each time you need a list of tribute gifts. You will only need to change the date in the filter and click on Select All again on the Tribute drop down to make sure it includes any new tributes.
