Volunteer Manager Task Tab

Use the Task sub tab of the Volunteer Manager to create and maintain your list of tasks. Tasks are attached to jobs. For each job you have defined, you can assign any number of tasks. A particular task can be assigned to different jobs at different times.

Once you have defined a task on this tab, you can add it to a job using the Job Manager tab  by clicking on the Set Up Schedule button. This opens the Volunteer Job Scheduler where you can use Step 3, Link Tasks to Job. You can also link tasks to jobs using the Volunteer Event Scheduler or the Volunteer Project Scheduler for jobs that are part of an event or project.

Tags can be assigned to tasks. The tags are the same tags that can be linked to volunteers so by adding tags to tasks, you can find volunteers who are suitable for those tasks.  If a task is always part of the same job, you do not have to assign the same tags to the task that you assigned to the job. When searching for a volunteer for a task, the task and the associated job tags both are used.

For example, if you have a job of children's center worker with several tasks, like art projects, playground supervision, and computer learning, the job may be tagged with a "Children" tag, and then each task with skills and interests that apply to that task. Since you have tagged the job with the "Children" tag, you do not need to repeat that tag on each task.

When you add a tag to a task, you indicate whether a volunteer is required to have the same tag, or should have at least one of a group of tags, or should be excluded from consideration if they have a particular tag. When you tag the task, you select from one of the following choices:

  1. Include - if a task has this tag, it indicates that a volunteer should be considered if they have the same tag. If you select more than one tag to include, the volunteer needs to have only one of those tags to be included in the list for consideration.
  2. Exclude - if a task has this tag, volunteers with this tag should be excluded in all circumstances.
  3. Require - if a task has a required tag, a volunteer must have this tag to be considered. If you select more than one tag to require, the volunteer must have all required tags to be included.

These same rules can be automatically applied to the volunteer filter when you are assigning volunteers to work, either from the Job Scheduler, the Project Scheduler or the Event Scheduler.

Add a task

To add a new task, do the following:

  1. From the Volunteer Manager, click on the Task tab.
    1. A list of tasks appears.
  2. Enter a code for the new task.
  3. Enter a description.
  4. If the task is active, make sure the Active check box is checked.
  5. In the Comments box, describe details about the task.
  6. In the list of tags on the right, select each tag that you wish to apply to this task, making the following choice:
    1. Click on the box in the Inc column by the tag to include the tag.
    2. Click on the box in the Exc column by the tag to exclude the tag.
    3. Click on the box in the Req column by the tag to require the tag.
    4. If a tag is not applicable to this task, leave all of boxes unchecked.
  7. Click on Save.

Edit a task

To edit an existing task, do the following:

  1. From the Volunteer Manager, click on the Task tab.
    1. A list of tasks appears.
  2. Select the task you wish to edit from the list of tasks.
  3. Make any changes to the information about the task.
  4. Click on Save.
