Volunteer Manager Volunteer Tab

The Volunteer sub tab of the Volunteer Manager provides a full list of all of your volunteers. To be included on this list, the person must have the Volunteer check box checked on their personal record.

From this screen, you can use the buttons to show the schedule for an individual volunteer in calendar form and to update a volunteer's hours. You can also use the items in the Icon Bar at the top of the screen to send a letter or email to selected people on the list, add a reminder to each person's bio record, print a report, or export the names to a spreadsheet.

Add a volunteer

If a volunteer name is not on this list, do the following:

  1. Search for the name.
  2. If you do not find the name, you can add it to a new household or organization.
    1. When you add the name, click on the Volunteer check box.
  3. If you find the name, open their Bio tab.
  4. On the Overview sub tab, Profile view, find the name in the Names section.
  5. Drill down on the name to open an edit window.
  6. Click on the Volunteer check box.
  7. Click on Save and Close.

Select the volunteers to show

You can configure the Volunteer list to show exactly what you want to see. You can use the headers at the top of the list to sort and filter the list. The Volunteer filter at the top provides additional criteria to narrow down the list of names:

  1. Click on the Volunteer Filter.
    1. The filter criteria area opens.
  2. To filter by tags attached to the volunteer, use the list of tags on the left side. You can select from this list in three ways:
    1. Include - if a volunteer has this tag, include her unless she is excluded by another tag. If you select more than one tag to include, the volunteer needs to have only one of those tags to be included.
    2. Exclude - if a volunteer has this tag, exclude her in all circumstances.
    3. Require - any volunteer that is included must have this tag. If you select more than one tag to require, the volunteer must have all required tags to be included.
  3. To find volunteers available on certain dates and times, use these options:
    1. Available Date From - enter a start and end date for the range you are looking for. If you are looking for a single date, enter that date in both the date boxes.
    2. Start Time From - enter a time range that a volunteer is available to start.
    3. Available Days - select all the days of the week that you are looking for. A volunteer must be available on all the days to be included.
  4. To find volunteers based on when they first or last worked or their total hours, fill in the corresponding ranges.
  5. To find volunteers in a particular location, type in a city, state and/or zip code.
  6. To find volunteers who have worked in the past on certain jobs, projects, events or tasks or with certain supervisors, make you selections from the drop down lists.
  7. To find only active, on-call, inactive or never worked volunteers, use the Volunteer Status list.
  8. Use the Reset Tags or Reset Other to erase the criteria you entered if you need to start over.
  9. Click on Go to find the volunteers.

Buttons on the Volunteer Sub Tab

There are two buttons on the Volunteer sub tab of the Volunteer Manager:

  1. Show Volunteer Calendar - this creates a calendar view of one volunteer's schedule. You can print this calendar or create a PDF version to email to the volunteer.
  2. Update Hours - this allows you to mark the sessions that this volunteer worked and add the hours to his volunteer record.
