Family Room Visits Tab
This tab displays a list of Family Room visits. It is also where you can easily check families into and out of a Family Room.
At the top of the list you select from the following choices:
- Location - select the Location codes you wish to view.
- Room - select the Family Rooms to be included.
- Currently in Room - display only families currently in the room.
- History - display all Family Room visits in the past, including the current visitors.
ExceedFurther remembers how you set these choices the last time you used this tab. You would generally have the Location and Room set to the Family Room you are in, and you would normally display only those currently in the room.
The Family Room Visits tab has the following buttons:
- New Registration - to add new Registration Cards for families who have not visited before. You can also check people in.
- Edit Registration - to edit information on existing Registration Cards.
- Edit Check In - to edit information about the visit, such as the number of family members and the time.
- Add Visitors - to add visitor names and addresses to existing Registration Cards.
- Check Out - to check families out of the Family Room.
- Delete - to delete a visit.
New Registration
To add a new registration card, do the following:
- Open the Room Visits tab of the Family Room tab.
- Click on the New Registration button.
- Enter the name of the patient and press Enter. You can enter the first or last name or both.
- A list shows all of the potential matches to the name.
- If a Registration Card already exists for this family, select it from the list and click on the Check In button.
- Enter the number of visitors, verify the date and time, and click on Save.
- If this is a new family, click on Continue to Add at the bottom of the screen.
- Enter the last and first names of the patient associated with this family.
- If there are two or more patients, you can select one name to enter. You can also enter the last name and put both first names in the first name field.
- Note: you should set a common procedure for entering two or more patient names for the same family so it is easy to find them the next time they visit the room.
- Select the gender and enter the birth date of the patient. This information is optional.
- Select the Location code for the room.
- Select a Heard Method if you are collecting this information. Heard Method codes are added on the Family Room Admin tab.
- Enter the last and first name of the visitor. If there are several visitors from the family, select one name to enter.
- Select the Relationship code for how the name you entered is related to the patient. Relationship codes are added on the Family Room Admin tab.
- Enter the address, email address and phone number of the visitor name.
- The address, email and phone information can be used to contact Family Room visitors after their visit.
- The visitor name and address information is all optional.
- After the visitors have agreed to the room use policy, click on the Agree to Policy box.
- To save this registration card, choose from the following buttons:
- Save - saves the card and returns to the Registration Cards tab.
- Save & Check in - saves the card and checks in the family. You enter the room, number of family members, and confirm the date and time.
- Save & Add Another - saves the card and clears the fields so you can enter another card.
Edit Registration
Use this button to make changes to a Registration Card. To edit a card, do the following:
- Open the Room Visits tab of the Family Room tab.
- Select a Room Visit for the family whose Registration Card you wish to change.
- Click on the Edit Registration button.
- Make any changes to the card.
- To save the changes, choose from the following buttons:
- Save - saves the card and returns to the Room Visits tab.
- Save & Check in - saves the card and checks in the family. You enter the room, number of family members, and confirm the date and time.
- Save & Add Another - saves the card and clears the fields so you can enter another card.
Edit Check In
Use this button to make changes to a visit. To edit a card, do the following:
- Open the Room Visits tab of the Family Room tab.
- Select a Room Visit you wish to change.
- Click on the Edit Check In button.
- Make any changes to the check in information.
- Note: If some members of the family have left the room, and you are using Option 1 to track visits, you should not lower the number of visitors since you want to record the total different family members who were in the room at some point during the visit.
- Click on Save.
Add Visitors
Use this button to add additional visitor names to a registration card. To add names, do the following:
- Open the Room Visits tab of the Family Room tab.
- Select a Room Visit for the family to whom you wish to add names.
- Click on the Add Visitors button.
- Use the Add button to add additional names to the list of visitors for this family.
Check Out
Use this button to check an individual or family out of the Family Room, depending on which option you are using to track visits.
If you are using Option 1, wait until everyone in the family group has departed. If you are using Option 2, you check out each individual as they depart.
To check a family out, do the following:
- Open the Room Visits tab of the Family Room tab.
- Select the visit to check out from the list of names.
- You can select more than one visit and check them all out at the same time.
- Click on the Check Out button.
- Update the check out time if needed.
- Click on Save.
Delete
Use this button to a room visit. To delete a visit, do the following:
- Open the Room Visits tab of the Family Room tab.
- Select the visit you wish to delete from the list of visits.
- Click on the Delete button.
- Confirm that you wish to delete this visit.
