Guest Manager Room Manager Tab
The Room Manager displays each room in the selected locations over the selected date range. Each day is colored coded for the current state of each room:
- Occupied - the room is occupied by a family.
- Confirmed - a family has a stay with stay type Confirmed for this room on the date.
- Past Expected - a family is currently occupying the room but the date is beyond their expected departure date. If the family is still in the rooms, edit the stay to update the expected departure date. If you have a group of stays that need to be updated, you can use the Update Expected Departure button on the Guest List tab to update the expected departure date for a several stays at once, rather than having to edit each stay individually.
- Transition - One family is departing and another family arriving on this date.
- Conflict - two or more families are shown as occupying the room on the same date. To see details about the conflict and make changes, click on the guest name. The screen that opens includes a tab for each family. You can edit the stays to remove the conflict.
- Unavailable - the room has been marked as unavailable.
You can select the date range, location and stay type to view at the top.
The Room Manager displays the name(s) of the guest(s) in the room. If you prefer instead to see the name of the patient associated with the guest family, there is an option in the Guest Stay section under Client Defaults in Admin. This option says "Show patient name for guest (Room Manager)"
The Room Manager tab includes the following options:
- Date Range - Use the arrows by the date range to move forward or backward in time or type in a new range.
- Location - Select one or more locations from the drop down list.
- Stay Type - Select one or more stay type values from the drop down list.
- Room Availability Status - To mark a room as unavailable for use during a certain period of time, select a room and click on the Room Status button that appears above the list of rooms. When you mark a room as not available, the days for that room are shown in gray with "UA".
- Cleaning Status - You can mark rooms as they are cleaned and ready for the next guest. The current cleaning status appears as a column next to the room description. The column header is C? and the status is Y or N. A room is automatically marked as not cleaned when it is occupied. To mark a room as cleaned, use the Cleaning Status button.
- Print - The Print option at the center top exports the chart to Excel where you can set it up for printing.
- Add - Use the Add button to add a new stay to the chart.
- View Details - If you wish to view details about a guest family's stay, click on guest's name in the chart. This opens a window where you can view all of the details about this guest family's stay.
- Edit - To makes changes to a guest stay, click on the guest's name to view the stay details. From that screen, click on the Edit Guest Stay button to open the Add/Edit Guest Stay screen.
- Move Guest - To move a guest from one room to another, click on the guest's name to view the stay details. From that screen, click on the Move Guest button to select a new room and date range.
