How to Setup an Online Form for Pledges and Payments
Before setting up an online pledge page, make sure that all of the gift codes, tags, and user defined fields that you might want to include on your form have been defined in the Administration section of ExceedFurther. As you design your form, these values are available if you wish to include them as options for your donors.
Donors can use this page to enter a new pledge or make a payment on an existing pledge. Donors can choose to make their pledge an Auto Pay Pledge - this is, as pledge that is automatically paid each period. The credit card is automatically charged each time a pledge payment is due.
To make a payment on a pledge that is not auto pay, the donor must enter the pledge number. When you create Pledge Reminders in ExceedFurther, you can include the pledge number in the letter or email. In this way, the donor knows the number to enter into the form when making a payment.
Please work with Tech Support to create a new online pledge form. Once this form is created, you can make modifications and updates by following these steps:
- From the ExceedFurther navigator, select Online Administration. This takes you to your online administration portal.
- Log in as the administrator.
- Under Online Administration, select Pledge Payments from the Online Donations menu on the left-hand side.
- Select Visit Public Page to find the page you wish to update.
- Make any changes you wish to the banner. You can update the banners by hovering over and selecting the 3 dots.
- Select Settings. From here you can set the following parameters:
- Add a Gift Name. This is not passed along with the gift.
- Select a Gift Reason. This is attached to all pledges and payments that come through this online page. This is not displayed on the form
- Select a Gift Campaign. This is attached to all gifts that come through this online page.
- Select one or more tags to be attached to all names who make donations through this online page. This is optional/
- If you wish to offer donors the option of restricting their gift to one or more Funds, you can use the magnifying glass to open the list of Funds and select the ones you wish to include. If you offer several funds, the donor can specify how she wishes the gift to be split among the Funds.
- You can use this page to accept pledges, pledge payments or both.
- Decide what options you wish to offer for pledge payment frequency. Select the magnifying icon to make your selections. You can also set a default frequency.
- You can show or hide the following options. All of this information is included within the donor's giving history in ExceedFurther.
- Tribute - make this gift in honor or memory of someone. Additional fields appear for the donor to specify the honoree and the options for notification.
- Matching Gift - this gift is eligible for a match from the donor's employer.
- User Defined Fields - if you have User Defined Fields for your giving history in ExceedFurther, you can include these fields on the form. This allows you to collect additional information about the gift.
- In the About You section, you can select to show or hide these fields:
- Is this gift personal or on behalf of an organization? If the gift is on behalf of an organization, it is assumed that the donor record in ExceedFurther is an Organization and not a Household. The Organization name is the name as entered on the form. The person filling in the form becomes the primary contact name at the Organization in ExceedFurther.
- Birthdate
- Gender
- OK to Contact
- In the Credit Card section, select from the following options. For each of these you can choose whether you want the option to appear on the form or not by selecting Hide or Show for each option.
- Fees - this allows the donor to pay the processing fees for the gift. You can choose to have this option selected by default by checking the box. If you choose this option, enter the percentage you wish to add to the gift for processing.
- Gift Acknowledged - when the gift is moved to the donor's giving history in ExceedFurther, it can be marked as already acknowledged, or you can use the ExceedFurther acknowledgment process to acknowledge the gift after it is moved into the donor's giving history.
- Anonymous - if the donor wished the gift to be anonymous, when it is moved into the donor's giving history, the donor's record is marked as wishing gifts to be anonymous. The donor's name and address are kept with the gift, but will not appear in gift reports in ExceedFurther..
- Comments - this allows the donor to add comments about the gift.
- Mailing Preferences - this list is from ExceedFurther's list of Mailing Tags. You can decide which tags you wish to offer for the donor's selection
- If you wish to provide a confirmation message to the donor after they have clicked on Submit, select this option. This causes a separate message to pop up, asking the donor to confirm the gift. The gift is not processed until the confirmation is received. This is optional and may be more appropriate when there is a more complicated transaction, for example buying tickets to an event.
- Be sure to click on Save to save your changes.
