Scheduling Reports

You can schedule any report to run automatically on a recurring schedule that you select. When the report runs, a copy is sent by email to a list of recipients that you select when you create the schedule. To use the report scheduler to schedule a report, you first need to save the report as a favorite.

Once you have scheduled a report or several reports, you can view and manage the schedule from the Scheduled Reports option on the Reports Navigator.

To set up a scheduled report, do the following:

  1. If you have already saved the report as a favorite, skip to step 7.
  2. Use the Report Navigator to find the report you wish to schedule.
  3. Select all of the parameters you wish for this report.
    1. Remember that when you run the report in the future, it will use the parameters exactly as you set them up. For dates, you should avoid entering actual dates, but rather select a choice like "Today" or "This Calendar Year" so that the report will select current dates when it runs in the future.
  4. Run the report to make sure it looks the way you want it to.
  5. Return to the Report and click on Save As.
  6. Save the report as a favorite.
  7. Return to the Reports Navigator and select Favorites.
  8. Find the favorite report you wish to schedule and click on the down arrow to open the report setup parameters.
  9. Scroll down to the bottom and click on Schedule Report.
    1. A PDF of the report will be created and sent as an email attachment to each recipient you specify. You need to enter the recipients, a subject line for the email, the wording for the body of the email, and a time schedule for the report to be created and sent.
  10. Enter the subject line for the email.
  11. Enter the list of email addresses for the recipients. If you add more than one, separate the email addresses with a semi-colon.
  12. Enter the starting date and the time of day you wish the report to be run.
  13. Enter the length of time you wish the schedule to continue.
    1. You can return to the schedule at any time to make a report inactive by using the Scheduled Reports option on the Reports Navigator. You cannot, however, change the schedule. If you wish to change the schedule in the future, you must first delete the schedule and add it again. This is done through the Report Scheduler, available on the Reports Navigator.
  14. Enter the pattern, for example daily or weekly, for when you want the report to be run and sent.
  15. Enter the body of the email.
  16. Click on Save.
