Adding Activities

Activities are added in several places in ExceedFurther:

  1. From the Activity tab of the Bio screen.
  2. From the Add Activity icon on the Icon bar.
  3. From the Add Activity button that appears in several managers.
  4. From the New Mailing tab screen where you can add a follow-up activity to everyone who received a certain mailing.

How to add an Activity

Your administrator can use the Customize Page Layouts in Admin to select the fields that are associated with each activity, including user-defined fields that are unique to your organization. In addition, the administrator can change the order that the fields appear on the screen.

Wherever you add an activity, you may add some or all of the following fields, depending on how your administrator has designed the screen:

  1. Contact name - the name of the person, couple, household or organization that this activity is assigned to. It will appear on the Activity tab and in the Journal of the Bio screen for the associated household or organization. Note that this field does not appear if you are adding activities to a group of names, for example from the New Mailing tab, where the contact name is automatically filled in with the mailing recipient names.
  2. Scheduled Date - the date that the activity should take place.
  3. Scheduled Time - the time that the activity is scheduled to start. This field can be left blank if there is not a specific time associated with the activity.
  4. Completed Date - the date the activity actually took place. Once this date is filled in, the activity is considered to be closed.
  5. Activity Source - since activities can be created from a number of places in ExceedFurther, this field indicates where the activity came from. The choices are General, Campaign, Grant, and Mailing.
  6. Activity Type - the type of activity. These choices are defined in Admin, under the Codes tab.
  7. Assigned to - the person who is responsible for carrying out the activity. The choices are you and the other users who have been defined for your organization.
  8. Solicitors - the volunteer solicitors who might be part of this activity.
  9. Activity Title - a short description of the activity. This title appears on the Task List/Tickler screen, in the Journal, and as shorthand in lists of activities.
  10. Activity Notes - any notes associated with this activity.
  11. Campaign - the campaign that this activity is part of, if any. Campaigns are defined in the Campaign Manager or in the Codes tab of Admin.
  12. Reason - the gift Reason code, if this activity is part of a gift solicitation or receipt. Reason codes are defined in the Codes tab of Admin.
  13. Event - the special event that this activity is associated with, if any. Events are defined in the Event Manager or in the Codes tab of Admin.
  14. Mailing - the mailing tag, if this activity is associated with a specific mailing. Mailing tags are defined in the Codes tab of Admin.
