Adding Gifts and Pledges
When you add gifts and pledges, you link each to a donor name. This can be a household or an organization or it can be an individual or a couple within a household or organization. Each gift or pledge has a number of fields of information that need to be added. Your administrator determines what information is requested and what is required when a gift is added.
Adding a gift and adding a pledge are essentially the same process. When you add a gift, you specify what type of gift it is,choosing from the following options: gift, dues payment, sale, pledge or payment on a prior pledge.
There are several ways to add a gift. No matter which place you are when you go to add a gift, the screen and the process are essentially the same, shown in the How to Add a Gift topic.
- From the Quick Add Navigator, click on Gift. You are asked to search for the name of the donor before you add the gift.
- Search for the donor using the Search box or select a name from one of the Quick Lists. Once you have found the donor and their Bio tab is open, select the Gift subtab and click on the Add button.
- Open the Gift Manager from the Gift Navigator. Click on the Add button.
- If you have several gifts that are similar, use the Quick Gift Entry option from the Gift Navigator. You can select a template for your gifts or create a new template with the most convenient page layout and defaults for this group of gifts.
- To manage pledges, adding new ones and scheduling and receiving payments, use the Pledge Manager.
- For gifts that are associated with a special event, you can add a gift directly from the Event Manager.
- For gifts that are also membership dues, you may choose to use the Member Manager to add dues payments.
- For gifts that are part of a campaign, the Campaign Manager can be used to add gifts and pledges.
- For gifts that are the result of a grant proposal, the Grant Manager Payments tab can track these gifts.
- For gifts that are overpayments from Guests, it may be easiest to use the Guest Manger to create a gift automatically from the overpayment.
Note that no matter how you add the gift, the result will be the same. For example, you can add a dues payment from the Bio tab rather than the Member Manager, and the membership renewal information will be correctly updated. You can add a gift through the Event Manager and it will also appear on the Bio tab for that donor, in the Gift Manager List, and in the Campaign Manager if it is part of a campaign. When deciding how to enter your gifts, you should choose the method that is most convenient.
